This Terms and Conditions agreement is made between:
- ACG VIP TRANSFERS a sole trader company, whose registered address is
31 Kingscroft Road, Banstead, Surrey, SM7 3NA (“Company”). - A private hire operator who, during the course of business, makes
arrangements and/or operates for the invitation or acceptance of
bookings on behalf of ACG VIP Transfers (“Driver”). - You, the recipient as displayed on the booking confirmation
(“Customer”).
- QUOTATIONS, RATES AND CHARGES:
- All prices are in GBP and are inclusive of VAT (unless otherwise notified to the Customer).
- ACG VIP TRANSFERS our office can be contacted on 07789964951.

- All quotations are valid for 30 days and include parking fees and toll charges.
- All quotations may are subject to Additional Charges in accordance with Clauses 3 and 5 below.
- Gratitude’s are at the Customer’s discretion.
- MEET AND GREET AND WAITING TIME:
- For airport pick-ups, waiting time applies once the plane has landed. For alternative pick-up addresses and/or hotel pick-ups, waiting time applies immediately in accordance with the Customer’s original pick-up time as stated in the booking confirmation.
- Should the original flight time be amended by more than 60-minutes by the airline, your original pick-up time may be amended by the Company and/or Driver where possible. Alternatively, the Company and/or Driver has the sole right to cancel and refund the Customer or reschedule the original pick-up time with an alternative operator, where possible.
- For airport pick-ups, where it is possible for the Company and/or Driver to amend your original pick-up time, the Company and/or Driver will track the flight and amend the ‘requested pickup’ time according to the actual flight landing time. The Driver shall attend the arrivals hall at a time it deems reasonable in consideration of the actual flight landing time.
- After the actual landing time, there will be a 60-minute free waiting time. The Driver will be waiting for you in the arrivals hall or the pre-agreed location. The Driver will be holding an ‘Airport Pickups’ technology device with the Customer’s name on it. The Driver will then accompany you to your vehicle, assisting with the Customer’s luggage where reasonably required.
- If the Driver is not contacted by the Customer within 60-minutes after landing, the Customer will be subject to the Additional Charges, which shall be calculated at the Driver’s and/or Company’s sole discretion, in accordance with Clause 3 below
- The Company and/or Driver will allow 10-minutes free waiting time at the hotel, pre-agreed location and/or pick-up addresses (not the airport). If you are late for your pick-up and miss your flight as a result, you will still be charged the full amount for your transfer booking.
- ADDITIONAL CHARGES:
- Additional Charges will apply after the free-waiting time in accordance with Clause 2 above.
- If the Customer is not able to meet the Driver at the arrivals hall, pre-agreed location, hotel or the pick-up address within the free allocated pick-up time (as outlined in Clause 2 above), please contact the Driver immediately. Where possible, the Driver may be held in the appropriate terminal and/or location at the following Additional costs listed in the Additional Charges in the table below.
- For example, if the Customer’s flight lands at 10:00am and the Customer has requested a pick-up time of 60 minutes after the flight landing time (11:00am); the Driver will be in the terminal at 11:00am. The Driver will wait until 12:00pm free of charge. After this, the below charges listed in the Additional Charges Table above shall apply.
- If the Customer cannot locate the Driver and seeks alternative transport without first contacting the Driver, you may be charged based on the tariff rate in your booking confirmation.
- The Customer will be charged an additional fee for any soils (“Cleaning Fee”) caused by the Customer and/or passengers to the vehicle. This includes but shall not be exclusive to; spillages, food and/or strong odours (for the avoidance of doubt, this includes accidental soils). This fee shall be calculated according to the valet quotation obtained by the Company and/or Driver. The Customer may be sent evidence of the soils caused by the Customer and/or additional passengers.
- The Customer will be charged an additional fee for any damage (“Damage Fee”) caused by the Customer and/or passengers to the vehicle. This includes but shall not be exclusive to; scrapes, dents, marks, scratches and cracks (for the avoidance of doubt, this includes accidental damage). This fee shall be calculated according to the quotation for damage repair and/or replacement obtained by the Company and/or Driver. The Customer may be sent evidence of the damage caused by the Customer and/or additional passengers.
- The Company reserves the right to charge the Customer an additional fee if the Customer requests a different route to the Driver’s route (“Alternative Route Fee”). This fee shall be calculated at an additional rate of £1.50 per mile.
- Pets are not permitted in certain vehicles. The Customer must first contact the Company and state in their booking if any pets will be transferred in the vehicle under the booking. The Company reserves the right to charge an additional fee (“Pet Fee”) of £15.00 for transporting pets. Pets must travel within a safe cage or secure lead/harness always accompanied by their owner, at all times.
- If the Customer fails to show up for their booking without providing notice in accordance with Clause 5, the booking will be classed as a ‘no-show’ and the Customer will be charged the full amount of the booking (“No Show Charges”).
- The Company reserves the right to refuse transporting any Customer and/or passenger who behaves in a disorderly, threatening or abusive manner.

4. GENERAL TERMS AND CONDITIONS:
- The Company is not liable for any late arrival to the destination, airport or other agreed drop-off location.
- The Company shall be under no liability to the Customer for any indirect loss and/or expenses (including loss of profit) suffered by the Customer arising out of a breach by the Company of these terms and conditions.
- In the event of any claim against the Company arising out of a direct breach, the Company’s liability shall be limited to a value not exceeding the total cost of the journey in accordance with the pricing listed in the Customer’s booking confirmation.
- The Company may not accept late bookings online (within 2 hours of the Customer’s desired transfer time).
- The Company accepts no responsibility for any loss or damage to property, howsoever caused. In the event that property is left in the vehicle, the Company will organise the return for the property to the Customer. Postage, packing or additional arrangements to return the property to the Customer, shall be at the sole expense of the Customer.
- No smoking (including e-cigarettes), eating or drinking is not permitted in any vehicle at any time.
- The Company will provide up to 2 child seats free of charge, any children entering the vehicle must be listed under the booking and notified to the Driver, 3 hours ahead of pick-up time. The Customer may use their own car seat at their sole discretion and liability. If a car-seat is not provided by the Driver or Customer, the child(ren) may travel without car seats in accordance with the Highway Code Exemption for Private Hire Vehicles (for the avoidance of doubt, please see the following link – https://www.gov.uk/child-car-seats-the-rules/when-a-child-cantravel-without-a-car-seat).
5. BOOKING CANCELLATION CHARGES:
- Refund can take up to 15 working days to process.
- Cancellation notice periods and fees are as follows:

5. PAYMENTS:
- The Company accepts Cash and most credit and debit cards as a means of payment. There is no extra charge for credit card payments.
- Payments are secure: the Company does not store your credit or debit card details. Payments will be using Secure Socket Layer (SSL) technology.
- Credit card numbers and personal information are protected with a good level of encryption when transmitted over the internet.
- Credit card receipts show “ACG VIP Transfers” as merchant name.
